Step #1: Brainstorm

The first step to any great event or initiative is brainstorming!

If you're starting from scratch, think of the five folds of BBYO, and try to incorporate as many of them as possible in your program:

  • Athletic

  • Community service/social action

  • Education

  • Judaic

  • Social

Once you pick the folds you'd like to incorporate, start thinking of ways to bring them all together. You can always add a fold to your program after you have an initial Idea. For example, if you are planning a Charity Run (athletic, community service), you may choose to add a speech with a Jewish lesson before or after the run.

Step #2: Plan

Once you have your idea, it's time to organize your thoughts, using the BBYO Program Planner!

Fill out all sections of the planner, which will involve materials needed, an itinerary, allocated tasks, etc.

When planning, you may find these additional resources useful:

  • Budgeting form - Here's the official budgeting form. You do not need to fill this out, however, it may help you organize your spending for more complicated programs.

Step #3: Approve

Once you have completed all sections of your program planner, make sure it is in your board drive, so it can be accessed by regional board members, Kevin & Hannah, and all other people involved. Be sure, as well, to inform them that you have completed the planner and they will review it. They may leave comments or questions on your planner for you to address.

Step #4: Execute

You've planned, you've had your program approved, and now it's time for the big day! Here are some important things to remember:

  • Remember materials: Remember to bring all of your materials, and call to confirm with everyone else who is bringing

  • Come early: It's always important to allow more than enough time to set up and prepare for your program... you don't want to still be coordinating as people arrive!

  • Print your planner: Even though you may think you have everything memorized, it's important to have your planner with you to make sure you stay on track and execute the program properly.

Step #5: Reflect

Congratulations!! You brainstormed a program, planned it, got it approved, and successfully executed it. However, the planning process isn't yet over. Now it's time to debrief and reflect with your team.

  • What went well?

  • What could have been done better?

  • Should we use this program/initiative again next year? (If it was successful, might as well use It again or adapt It!)
